Runbooks the whole team can edit, with the history of every change kept.

Operational knowledge goes stale quietly. The runbook was right last year, and nobody noticed the day it stopped being true. Jotura gives the team one shared folder of plain Markdown, where anyone with edit rights can fix a step the day it changes and everyone can see what changed and when.

How it goes in practice.

  1. Share the folder

Put runbooks, procedures, incident records and plans in one folder and share it with the team. Make the people who change things editors and everyone else viewers.

  2. Fix it when it changes

Edit a step the day it changes. Edits made at the same time on different machines merge.

  3. Track the follow-ups

Write follow-ups as checkboxes in any note, with a date like @due(2026-11-03). The Tasks pane gathers them from across the vault.

  4. Look back

After an incident, version history shows what each runbook said at the time and who changed it since.

What helps along the way.

  • Notes in a share are encrypted to exactly the people invited, and each of them needs Jotura Sync.
  • Three years of version history on synced notes, and any earlier version can be restored.
  • Tasks can be in progress, cancelled, forwarded or a question, so a stalled item looks different from a finished one.
  • Runbooks are plain Markdown files, readable in any text editor on any machine.

Incident response

Step 4 now points at the on-call rota that replaced the old one in June.

Escalation path corrected: platform first, then the vendor, then comms.

Follow-up: retire the old pager group @due(2026-11-03).
